Create an impact by learning the correct format of a press release
Press release is a kind of written communication that will be used to report an event or an occurrence by a third person so that it can be sent to news media for publishing and promotion. Press releases are different from articles and these are sent to the journalists so that they can frame new articles from the information that is submitted. They are just raw materials that are used to create news.
The format for a press release should follow some of the guidelines given below:
- The information that you want to communicate should be written in the ‘third person’ so that it appears like you are reporting an event
- They should be less than 500 words with two or three paragraphs so that they are more effective
- It should be preceded with a catchy headline that can grab the viewer’s attention
- The content should be accurate and reasonably detailed so that it can be used by the media
The format of a press release will be similar to the following:
Headline
The headline should be creative and catchy and should be minimized to a single line. The first letter of all the words should be capitalized and should not have all upper case letters. Exclamation mark is used to convey advertisements, hence should be avoided.
Paragraph 1
This is the first that a reader will look into, hence should give a description about the physical location, month, day, year, etc so that it captures the attention of the reader. It should summarize the entire content that you have written so that the reader can get the message even without reading the entire release.
Paragraph 2, 3, 4…
These paragraphs form the content of the press release, hence should have detailed information that can make the body of the release. You should use correct grammar and accurate information so that your credibility is not negatively affected. You can include quotes and research that you had previously done by asking views of experts so that your content can gain more weight age. Also, you should write it in such a way that it appeals to the journalist.
Remember short is best! Keep your content to less than 500 words and your press release should be to the point.
